Academic Visa ("we", "us", "our") helps students and professionals from Morocco prepare university admission and student visa files for Spain. Because that work involves sensitive personal documents — passport copies, financial statements, academic records — we take how we handle your data seriously. This policy explains what we collect, why, and what rights you have over it.
1. Who We Are
Academic Visa is a student visa and university admission consultancy based in Agadir, Morocco, with a presence in Spain. Full legal identity and registration details are listed on our Legal Notice page. For any question about this policy, see Section 13.
2. Data We Collect
Depending on which of our services you use, we may collect:
- Identity documents — passport copies, ID photos, birth certificates.
- Academic records — diplomas, transcripts, admission letters.
- Financial documents — bank statements or proof-of-funds letters required by consulates.
- Contact details — name, phone number, email address, city.
- Communications — messages sent via our contact form, WhatsApp, phone, or email.
- Website usage data — pages visited and general technical data (browser, device type), collected automatically as you browse.
3. Why We Collect It
We only collect what's needed to prepare, submit, and follow up on your admission and visa file, to respond to your enquiries, and to meet legal or consular record-keeping obligations. Where processing isn't strictly necessary for your case, we ask for your consent first.
4. How We Use Your Data
- Preparing and submitting your university admission and visa applications.
- Communicating with you about the status of your file.
- Internal case management and quality control.
- Meeting legal obligations toward consular or university authorities when required.
We do not sell your personal data, and we do not use your visa/admission documents for marketing purposes.
6. International Transfers
Because our service connects Morocco and Spain, your data is inherently processed in both countries — for example when a file is submitted to a Spanish consulate or university. We take reasonable steps to ensure that any transfer of your data outside Morocco is handled with an appropriate level of protection.
7. Data Retention
We keep your data for as long as needed to complete your case, plus any additional period required by applicable record-keeping obligations toward consular or administrative authorities. After that, your data is deleted or anonymized. [Exact retention period to be confirmed].
8. Data Security
We limit access to your documents to the staff directly handling your case and use reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse. No method of storage or transmission is 100% secure, but we work to keep risk as low as reasonably possible.
9. Your Rights
Depending on your location, you may have the right to access, correct, delete, or request a copy of your personal data, and to object to certain uses of it — including rights available under Moroccan Law 09-08 on the protection of personal data, and under the EU General Data Protection Regulation (GDPR) where applicable. To exercise any of these rights, contact us using the details in Section 13.
11. Minors
Our services are intended for students old enough to independently pursue higher education abroad. Where a client is a minor, we expect a parent or legal guardian to be involved in the process and to consent to the handling of the minor's data.
12. Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. The "Last updated" date at the top of this page will always reflect the most recent version.
13. Contact Us
